eMemo increased the automation rate and transparency of Fortum’s financial administration


The implementation of eMemo improved the efficiency of Fortum’s financial administration, allowing the company to get rid of paper memo vouchers and manual approval and archiving processes.

Fortum’s financial shared service center has been using eMemo since 2009. Nina Ilo, owner of the service center’s Record-to-Report process, is particularly happy with eMemo’s user-friendly functionalities, which make a number of daily tasks easier.

“My favorite features include the creation and allocation of periodic receipts and the automated receipt handling on specific days. The ability to use old receipts as templates and to save the receipt and edit it later is another functionality that often saves time,” Ilo comments.

Shorter turnaround times

Fortum’s financial shared service center currently uses eMemo in 13 countries. It has hundreds of active users.

“We have managed to eliminate a lot of routine tasks by making all procedures electronic in eMemo, from receipt creation to archiving. Being able to forward receipts anywhere and anytime has made the approval and archiving process quicker,” Ilo says.
“It is easy track the status of the receipts, and the system sends a notification if the receipt is not circulating as planned. The automatically created record of a receipt’s processing stages serves as the basis of the audit trail.”

According to Ilo’s estimates, the electronic system has saved the company a significant amount of working time and, consequently, money.

Improved quality

Quality is another important aspect. Attachments are automatically archived with the original receipt. Posting and period details can be checked against the financial system rules at receipt creation, and the available codes are displayed on selection lists, which also helps to improve quality. Each receipt has a set of clearly defined roles, and one person can never be both the author and the approver of the same receipt, Ilo says.

Over the course of the cooperation, Attido has developed eMemo to make it correspond to Fortum’s wishes.
“Attido has welcomed our wishes and ideas on how to develop eMemo,” Ilo says.
